Xerox MPS reduces costs for multinational company

MPS PictureConsumer goods company Procter & Gamble (P&G) has energy costs reduced by 30 percent by adopting Xerox’s MPS programme.

Industry Analysts reported that the number of pages printed by P&G, which has 135,000 employees spread across 80 countries, has been cut by eight million pages since the company signed an MPS contract with Xerox in 2008, reducing energy costs by 30 percent in the process.

Before signing the contract, P&G produced millions of documents each year using 45,000 copiers, printers, scanners and fax machines – the equivalent of one device per four employees on average; with each of the company’s facilities worldwide able to purchase their own devices and supplies independently.

Realising that the way the company dealt with printing was “absolutely not efficient”, Caroline Basyn, Director of Global Business Services at P&G said that she turned to an MPS programme as she “wanted to manage the whole worldwide print fleet as if it were one printer”.

A team from Xerox assessed P&G’s document-driven processes and identified way to help its employees work more efficiently and securely; gathering data on the time they were spending on document process by conducting interviews and timing employees as they performed printing tasks. This all helped the OEM to identify a new process that improved the productivity, reduced waste and generated savings for the company.

Using the new process, P&G has reportedly cut its print fleet to 10,000 devices – equivalent to one device per 14.3 employees on average; with the typical end-user saving over 200 minutes each year that would have otherwise been spent on printing or other related tasks. For device administrators, 650 minutes per year have been saved through the programme.

With Xerox now managing P&G’s global print operations across 139 sites so far, printing costs have reportedly been reduced 21 percent and paper consumption by 30 percent.

Basyn said: “The equipment is much more reliable, and our employees can use it anytime, anyplace. Managed Print Services gives them minutes back in their day, so they can focus on taking care of the business rather than printing.”
