The OEM helped Hewitsons to save money in terms of “maintenance and general operating costs”.
The law firm stated that its “high levels of service” to clients is “facilitated by a modern administrative infrastructure”, which meant it needed to “upgrade its portfolio” of MFPs and its MPS software “to meet the changing requirements of its operations”. Having been a customer of Toshiba “for a number of years”, the OEM was chosen again, and decided to install one e-STUDIO 5540C machine and a number of e-STUDIO 4540C machines
A three-week trial with two of the devices – one of each – saw them located “in one of the busiest departments” at the company and “assessed for ease-of-use and functionality”, with “unanimously positive reports” leading to over 20 machines installed at three of the company’s sites in the UK. The programme also reduced the number of MFPs in one site from 16 to five.
In turn, the OEM utilised its Private Print feature on the MFPs, which allows the user to send a job to the printer “and release it via a PIN”, which “made an immediate impact” at Hewistons as a law firm, while the PaperCut pull printing technology was also used on all MFPs to track “printing, copying and scanning activities by user, device or department”, and the firm added that “its reliance on printing meant that despite its efforts to print less”, waste paper “was still an issue to be addressed”
The system allowed the company to “monitor usage patterns and costs, and take appropriate action when necessary”, with the ability to “implement quotas and restrict where certain types of printing can take place” has been seen to “facilitate significant cost savings”. Overall, the printers were seen to have had an “overwhelmingly positive impact on document management […] exceeding all expectations”, with Anna Jennings, Senior IT Administrator at Hewitsons, commenting that waste paper “has dropped dramatically” and the MFPs “are a pleasure to use”.
John Winchester, Regional Sales Manager at Toshiba TEC, added: “The e-STUDIO5540C colour MFP is a comprehensive control centre for a modern and efficient digital document workflow. Its embedded e-BRIDGE technology enhances workgroups and departments with applications that go beyond the scope of classic print, scan, copy and fax. Its flexibility and reputation as a ‘workhorse’ made it the perfect choice for Hewitsons, while the e-STUDIO 4540C perfectly complements the e-STUDIO 5540C and can operate at 45 pages per minute in black and white and 45 pages per minute in colour.
“By effectively controlling waste and facilitating business process improvement, pull printing allows someone to send an item to be printed, which joins a print queue. The user then presents their Mifare card to access their documents via any chosen networked MFP, thereby keeping their documents secure and enhancing confidentiality. Users also have the ability to delete a specific print job if necessary and PaperCut has been proven to help organisations reduce costs by up to 60 per cent.”
